The commercial company Isototal Quality First s.r.l. was established in April 2009 in the city of Pitesti, having as its main object of activity Consultancy for the management of the organization. On a saturated market in this field, we have come up with something new: a series of web applications for company management, similar to those already existing in large organizations, but which address small and medium enterprises. These applications can be easily grouped in an ERP type system (Enterprise resource planning)

A. Document management (document management system - DMS):
ISOTOTAL has developed a function that only a few suppliers can offer worldwide => the introduction and updating of document information (code / revision date / author / revision date) automatically in the footer of word and excel documents.
  1. When a document is needed by several people in different locations, do they know and have access to the latest version of the document?
  2. How quickly can you find out about a document found in the field: if it is the current version, who created it and on what date, who approved it, who received it for use, what are the previous versions of this document?
  3. If an employee leaves the organization, can you find all the documents used, created, modified and distributed by him?
  4. Can an employee quickly find important documents that were not created by him? If not, how long does it usually take to find a document?
  5. Do you have a database that allows you to find all relevant documents, regardless of format, physical location or author?

    The identification of problems, their analysis, the establishment and implementation of corrective actions, the follow-up and verification of corrective / preventive actions, the generalization and cross-cutting of actions, are activities that must be planned and followed in the most effective way to ensure the quality of products and services.
  2. Is the process of dealing with problems (nonconformities) in the organization standardized?
    The availability of the necessary information, the speed of reaction and the way of communication are the most important factors in solving problems. Unfortunately, most organizations face difficulties in ensuring these factors.
  3. Do you have difficulties in ensuring the quality of the supplied products/services or in the supplier control process?
    The resolution of non-conformities found in the supplied products is made much easier by using a common and standardized system with the supplier, a system that facilitates access to information and the efficient treatment of problems.

C. Management of action plans:
  1. Have you implemented a continuous improvement process within the organization?
    When we talk about quality, we talk about continuous improvement and implicitly about corrective actions and preventive actions, mandatory requirements of the ISO 9001 standard. From experience we have found that the main cause of the appearance/reoccurrence of non-conformities in a process is the ineffective way for managing preventive and corrective actions.
  2. Can you easily say what problems you had last year, and how they were solved?
    In certain situations, the information contained in an action plan from the past is the most important for solving a problem. Retrieving that information then becomes a problem itself.
  3. How long does it take to prepare, approve and distribute an action plan?
    It is known that in dealing with problems in an organization, time / reaction is an important factor. In most organizations, the time it takes to prepare, approve, disseminate and follow up an action plan is very long and due to the inefficient/unstructured way of transmitting information.

D. The efficiency / optimization of any process of the quality management system:
  1. Do you have processes in the organization that do not meet your expectations?
  2. Do you want to increase the ability to control and track the organization's information and processes?
  3. Do you want to secure documents and information?

E. Stock management:
  1. Do you know the situation of material stocks at any time?
